How it works

From an empty room to a closed deal, one step at a time.

This page follows a single room through its life: the day you create it, the weeks your counterparties spend inside it, and the day you export it and close the door.

The example is a Singapore company preparing for an investment round, but the same steps apply to a sale, a tax review, a refinancing or a dispute.

Setting up

  1. 1

Sign in and create a room

Your team signs in with MyAndGo using Google, Microsoft or email, with two-step verification. Name the room. Set your defaults once in workspace settings, and every new room takes them: view-only, watermarks and an NDA.

  2. 2

    Bring in the documents

Drag whole folders from your computer and the structure is kept. Each file is scanned for malware before it can be opened.

  3. 3

    Let the AI help organise

Text is read from every file, scans included, and documents are tagged, categorised and summarised. The AI can suggest a folder structure and sort uploads into it.

  4. 4

    Check the index

Move documents between folders, rename where needed, and handle duplicates by adding a new version, keeping both or skipping.

Deciding who sees what

Before anyone is invited, think about the parties. In our example there is a lead investor, two follow-on investors, the company's own lawyers and its auditor. Each becomes a group.

  • The lead investor's group sees everything except the folder of internal board deliberations.
  • The follow-on investors see the investor deck, financials and cap table, but not the detailed contracts.
  • The auditor sees the finance folders only, with downloads turned on because they need working copies.
  • Everyone else is view-only, with their name, email address and the date watermarked on each page.

A folder a group cannot see simply does not appear for its members. Download, print, copy and watermark settings can be set for the whole room and adjusted per group.

Inviting and running the room

  1. 1

    Send invitations

Invitations carry your logo and company name and can have an end date. Recipients confirm their email with a six-digit code and need no account.

  2. 2

    Accept the NDA

If you turned the NDA on, each visitor accepts it before the room opens, and the acceptance is recorded with the time.

  3. 3

    Handle questions

Investors raise questions inside the room. Assign each one, set a category and priority, and review an AI-drafted answer before posting.

  4. 4

    Collect what is missing

Use a document request list to ask for outstanding items, assign them to colleagues, and share an upload link with anyone outside the room.

Following progress

As the round moves, the insights for the room show who has opened it and which documents each person read. On Professional and Business plans you also see time spent per document, which often tells you more than any email reply about where an investor stands.

The workspace analytics view rolls engagement up across all your rooms by counterparty, useful when the same fund is looking at more than one opportunity with you.

Every view, upload, download, invitation and change is recorded in the audit log. Each entry is chained to the one before, so a change to the record can be detected, and you can export it as a CSV at any time.

When a document changes

Updated management accounts arrive halfway through. Upload them over the old file and choose to make them a new version. Earlier versions stay in the history, so nobody loses track of what was shown when.

Closing out

  1. 1

    Export the room

Download a ZIP with the folder structure intact, plus an index of every document as a PDF and a CSV.

  2. 2

    Export the audit log

Keep the record of who saw what alongside the documents themselves.

  3. 3

    End access

Revoke the remaining invitations so no link keeps working after the round closes.

Frequently asked questions

How long does setting up a room take?
Creating a room and dragging in prepared folders takes minutes. The longer task is usually gathering the documents, which a checklist helps with.
Where are the documents kept?
Your documents, records and files are stored in Singapore. Some services run elsewhere, such as sign-in and sending email, and our privacy page lists them.
What happens to deleted files?
Deleted documents go to a recycle bin first. Deleting them from there removes the stored files and their previews.
